Adjournment Meredith Hauck Director of Community Relations Imo d O 11/2011 at 10: NOT APPROVED TOURISM COMMISSION RIVERSIDE, MISSOURI Monday, February 7, 2011 6:00 p.m. The Tourism Commission for the City of Riverside, Missouri, met in the Board of Aldermen Conference Room at City Hall, 2950 NW Vivion Road, Riverside, Missouri on September 20, 2010 at 6:05 p.m. Chair Jason Rule called the meeting to order. Answering roll call were Jason Rule, Deana Winter, Jerry Pietsch, and Dirk van der Linde. Also present was Meredith Hauck, Director of Community Relations (recorder). Motion to approve Commissioner Winter made a motion to approve the minutes of September minutes of September 20, 2010, and Jerry Pietsch seconded the motion. All voted in favor. 20, 2010 Motion carried. Tourism Fund Update Meredith Hauck updated Commissioner van der Linde on the changes to the Tourism budget made in September. The Board of Aldermen now sets the general parameters for the Tourism Fund and then the Tourism Commission operates within that budget. Hauck explained that the updated budget sheet has "TBD" next to the Fund Balance category because Hauck and Finance Officer Donna Resz were counting that number differently and are now working together to determine the exact amount available. Hauck provided an update on the Billboard project that was funded at the September Tourism Commission meeting. The first billboard is up at 1 -35 and Cambridge Circle. Its up early because the billboard didn't have a reservation before the city's started in March. The rest of the billboards go up the first week of March and will run for eight weeks. Grant Application - Hauck presented the 2011 Riverside Riverfest Tourism Grant Application. Riverside Riverfest She indicated that Riverfest was requesting the same amount as in the past and that not much had changed in the application from previous years. The Tourism Commission reviewed the survey results from the 2010 event and commented that attendees were mainly from north of the River and that the main draws of the event were the inflatables, entertainment, car show and fireworks. Commissioner Rule said that he felt the inflatables didn't have enough supervision in 2010 and that he was concerned about the safety of the way they were set up. All Commissioners agreed that the entire event is too spread out at EH Young Park. The Tourism Commission asked Hauck to request a joint meeting between the Tourism Commission and Riverfest Committee once the Riverfest Committee starts meeting. Commissioner Pietsch made a motion to approve the Riverfest grant for $50,648 and Commissioner Winter seconded the motion. All voted in favor. Motion carried. Grant Application — Hauck presented the 2011 Midwest All Truck Nationals Tourism Grant Midwest All Truck Application. She indicated that they were requesting slightly more than in Nationals the past and that not much had changed in the application from previous yea rs. Commissioner Rule said he thought this was one of the best events offered in the Community. The rest of the Commissioners agreed. Commissioner Pietsch made a motion to approve the Midwest All Truck Nationals grant for $10,300 and Commissioner Winter seconded the motion. All voted in favor. Motion carried. Grant Application — Hauck presented the 2011 Midwest Camaro Fest Grant Application. She Midwest Camaro Fest explained they were asking for $450, or the exact amount that it would take to offset the park rental fee and did not turn in a complete application. Commissioner Pietsch made a motion to approve the Midwest Camaro Fest grant for $450 and Commissioner Winter seconded the motion. None voted in favor, all were opposed. Motion failed. Funding Request — Girls Hauck explained the Girls on the Run program and said that Riverside's on the Run 5K support of the program was one of the key reasons it was expanding to the Northland. By sponsoring the event at the $4,000 level, the City would be a title sponsor so the event would be called the "Girls on the Run 5K presented by the City of Riverside." Hauck said this is invaluable advertising and would reach at least 600 people (300 girls plus their running partners) plus be advertised at every major run in the Metro area leading up to the event. All of the Commissioners agreed this was a great program to be a part of. Commissioner Winter made a motion to approve $4,000 for the Girls on the Run 5K sponsorship and Commission Pietsch seconded the motion. All voted in favor. Motion carried. Funding Request — Kansas Hauck presented a last minute advertising opportunity to the Tourism City Business Journal Commission. The Kansas City Business Journal's February 18 edition will Advertisement feature a special focus on the Northland as a follow up to its February 17 "What's Next in the Northland ?" event. The edition will feature stories focusing on the Northland and contain ads from other Northland communities. Hauck explained that she felt it was important for the City to have a presence in this publication and the amount requested to purchase an advertisement was $6,000. Commissioner Rule said he felt this was not a good investment for the City because there is currently nothing going on in Horizons to advertise. He also felt that one advertisement would not sway the decision makers in a company to consider Riverside. Hauck explained that the City's marketing strategy is based off of "pings" — it's understood that one advertisement won't change someone's mind about the community but seeing things about the City in a variety of places (publications, billboards, online, etc.) provides people with a point of reference about Riverside, which could influence them to consider Riverside when they make a decision about where to move or where to locate their company. All of the commissioners agreed $6,000 is a significant amount to spend on one advertisement. Commissioner Winter asked if the City would split the ad with the Commission. Hauck explained that all of the City's advertising dollars had already been committed as part of the 2010 -2011 marketing plan adopted by the Board. Commissioner Winter agreed that it's important to have a presence in a publication about the Northland. Commissioner van der Linde made a motion to approve $6,000 for the KCBJ advertisement. Commissioner Pietsch seconded the motion. Commissioners Winter and Pietsch voted in favor. Commissioners van der Linde and Rule were opposed. Motion fails. Adjournment — 7:04 p.m. Commissioner Rule made a motion to adjourn and Commissioner Pietsch seconded. All present voted in favor. Summer Advertising Campaign Plan Overview: Utilize neighborhood publications in key areas throughout the metro to promote the City of Riverside's summer event schedule. Details: The City will enter in a contract with N2 Publications for an advertising campaign in the following neighborhood publications: Falcon Ridge, Lions Gate, Pavilions, Staley Farms, Riss Lake and Briarcliff. These publications were selected because of their reach to a variety of audiences targeted by the City and due to their high readership rate (85 %). A series of five advertisements will run during the City's event season (May- September) — quarter -page ads in May, July and August, and half -page ads in June and September (corresponding with City events).
