HomeMy WebLinkAbout2007-050 - Agreement with US Engineering;. ~ ~ BILL N0.2007-50 ORDINANCE N0.2007-50 AN ORDINANCE AUTHORIZING THE CITY OF RIVERSIDE TO ENTER INTO A SERVICE AGREEMENT WITH U.S. ENGINEERING COMPANY WHEREAS, The City of Riverside solicited for proposals for HVAC repair and maintenance work for the City Hall and Public Safety building, and WHEREAS U.S. Engineering Company, ("Service Provider"), desires to provide services for HVAC repairs and maintenance ("Services"), to the City Hall and Public Safety buildings; and WHEREAS, the City of Riverside desires to keep its facilities in a well maintained condition. NOW, THEREFORE, BE IT ORDAINED, by the Board of Aldermen of Riverside, Missouri, as follows: Section 1. The City of Riverside has determined that HVAC repairs are needed for the City Hall and Public Safety buildings and shall pay to the Service Provider for the provisions of the Services to the City, pursuant to the proposal, Exhibit A, which is attached and hereby included by reference, and is approved, in an amount not to exceed Six Thousand Two Hundred Seventy Eight Dollars and No Cents ($6,278.00). Section 2. The City of Riverside shall pay to the Service Provider for the provisions of the Services to the City for a one year maintenance agreement pursuant to Exhibit A, which is hereby approved, in an amount not to exceed Four Thousand Two Hundred Thirty Two Dollars and No Cents ($4,232.00). Section 3. The Mayor, City Administrator and City Clerk are authorized and directed to execute the Service Agreement with such changes as such officer shall approve, execution of such document being conclusive proof of such approval. The Mayor, City Administrator and City Clerk are each authorized and directed to perform all the acts and execute any other documents necessary or desirable to effectuate the intent of this Ordinance Section 4. We will not be held liable for loss or damage, direct or consequential, arising from, or out of, the operation of the equipment or failure to operate, or failure of any apparatus, ar its controls, or for material or labor delays, or for obsolescence, unless such loss or damage is due to the direct action or neglect of U.S. Engineering Company personnel. We shall not be responsible for damage caused by lightning, power failure, or any other electrical damage caused by malfunction of electrical distribution system. We reserve the right to discontinue service any time payments have not been made as agreed. Rupp REVIEWED BY: Davi lackburn HVAC Problems in City Hall and Public Safety Buildings BACKGROUND Attached; please find one of three solicited proposals for repairs to City Hall and the Public Safety Building HVAC systems including an annual controls maintenance agreement. There have been climatically oriented problems in certain work areas as well as the Public safety fire bays. Shafer, Kline, & Warren Engineering [SKW] firm was contracted by Riverside to perform trouble shooting analysis. That analysis was done and based upon SKW findings proposals were prepared for the repairs of ide~ified problems and parameters for submitting an annual maintenance contract were included in the request for proposals. Of three contacted firms, two responded with proposals, the Fagan Company and U.S. Engineering. Fagan Company $5824 repairs, maint/controls $10,828 = $16,652 U.S. Engineering $6278 repairs, maint/controls $ 4,232 = $10,510 The package price difference is ................................... $ 6,142 with U.S. Engineering being the lowest overall bid. ACTION OPTIONS 1) Approval of the proposal from U.S Engineering Company cost of $10,510. 2) Do not approve the proposal from U.S Engineering Company cost of $10,510. 3) As the Board of Aldermen deems appropriate. STAFF RECObIl~DATION: Shafer, Kline, & Warren Engineering and Staff recommend approval both proposal items for U.S Engineering Company. POLICY: The Board of Aldermen must approve all expenditures. BUDGET IMPACT: The HVAC repairs will be charged to the Capital Projects line item 21-5023-530-00 current balance $125,000, and the HVAC Maintenance will be charged to the Administrative Building Maintenance Line item 10-5-111-478-00 currently is over budget on the line item but not the cost center in the 2006/07 budget.
