Adjournment ATT Posted 09-24-201 at 1:45 p.m. Meredith Hauck Director of Administration TOURISM COMMISSION RIVERSIDE, MISSOURI, Monday, August 11, 2014 at 6:00 p.m. At 6:00 p.m. on August 11, 2014, the Tourism Commission for the City of Riverside, Missouri, met in the Board of Aldermen Conference Room at City Hall, 2950 NW Vivion Road, Riverside, Missouri. Answering roll call was Lori Locke, Jennifer Goering, Hope Carriger, and Julie Rule. Meredith Hauck, Director of Administration (recorder), was also present. Motion to Approve Minutes Commissioner Locke made a motion to approve the minutes from June 16, 2014. Commissioner Goering seconded the motion. All voted in favor. Motion passed. History Project Laura Fagen made a presentation to the Commission about the results of Presentation the Riverside history project she had worked on over the summer. The Tourism Commission previously approved $5,000 to fund this position. Riverside MusicFest Update Motion to Approve KCAI Class Funding Fagen's presentation, including recommended next steps, is attached. A member of the audience, Jim Wedeau, shared that Steamboat Arabia was interested in moving to Riverside. He asked the Tourism Commission to investigate that option at some point. Representatives from O'Neill Events and the Riverside MusicFest Committee presented an update on the event to the Tourism Commission. Their presentation is attached. Commission Goering said that she was frustrated at the lack of communication between MusicFest and the Tourism Commission, and that nothing was available about the event before August 11. The MusicFest Committee explained that their timeline to kick off marketing had always been August 11, but agreed that could have been better communicated to the Tourism Commission and City representatives. Commissioner Rule asked how they would determine if the goal of 7,500 attendees was met. Ms. Hauck explained that the City's police department would provide the official estimate. The Tourism Commission members further reiterated the need to ensure that the parking locations and free shuttle service was adequately communicated to the public. Ms. Hauck presented a funding proposal to use Tourism funds to pay for a spring "Riverside En Plein Air" class in partnership with the Kansas City Art Institute. The City is paying for the Fall session of the class out of its marketing budget. The Tourism Commission agreed that this met their goal of expanding the public's awareness of Riverside's unique history, events, activities, and amenities. The sponsorship would cover the registration and materials fee for 15 students - $2,460 ($164 x 15 students). Commission Goering asked that Ms. Hauck work with KCAI to ensure that FY15 Tourism Grant Overview Tourism Commission Meeting Schedule Adjournment — 7:53 p.m. the partnership and project receive good publicity. She suggested the Sunday Star Magazine and Northland Life Magazine. Commissioner Goering made a motion to approve funding in the amount of $2,460 for the Spring KCAI "Riverside En Plein Air" class. Commissioner Carriger seconded the motion. All voted in favor. Motion passed. Ms. Hauck reviewed the FY15 Funding RFP with the Tourism Commission and received approval to move forward with the deadlines included in the draft: - RFP Due: November 25 - Tourism Commission Approval: January 27 - Award Notices Mailed By: January 30 - Projects Completed By: December 31 Ms. Hauck shared that she was working on putting together proposals for City -related projects to be reviewed during this funding process and encouraged members of the Commission to contact her if they had any ideas for projects to include. The next Tourism Commission meeting will be on October 13 at 6 p.m. Commission was adjourned.
