WHEREAS, the City receives tourism tax revenues which are to be used to promote tourism; and WHEREAS, the City's Tourism Commission solicited applications from interested groups for projects to promote tourism; and WHEREAS, the Tourism Service Provider desires to continue to secure a full- time staff position to focus on increasing economic and tourism related activity within Riverside and expand the public's awareness of the City's unique events, activities, amenities and businesses. Now, therefore, in consideration of the mutual covenants and agreements set forth herein, the parties agree to the following: 1. The Tourism Service Provider shall continue a full-time staff position which will focus on increasing economic activity and developing strategies to expand tourism efforts. 2. The Tourism Service Provider will coordinate two (2) tourism related events that aim to attract visitors to the City. The parties agree to work in good -faith on any changes to the event schedules and different or additional events that may be added. 3. By December 31, 2022, the Tourism Service Provider shall submit a completed City of Riverside Tourism Commission Final Report form. 4. The City agrees to provide Tourism Fund financial assistance to the Tourism Service Provider in the amount of $81,000.00 to continue employment of a full-time staff position and to coordinate 5 tourism related events. The Riverside Chamber of Commerce is submitting this proposal for 2023 sponsorship funding in the amount of $81,000.00 to assist in funding a full-time staff person to assist the Chamber in conducting tourism -related events and additional Chamber member events. The events are as follows: Riverside Carved, A Riverside Christmas, and business community events including a large business retreat/workshop. The funds will also allow flexibility for the Chamber to explore other events in which to host or support in order to bring tourism to Riverside. As the Chamber is a membership -based organization with a volunteer board, the only way to facilitate these events is with a full-time staff person. We have continued to grow our membership. We currently have 110 members and continue to keep current members involved. The business events we have had have been well attended, but a request for more large-scale business events has been expressed by our members. We have also seen a steady amount of outside involvement at Chamber events. Every year the participation of local businesses has become more engaged; especially with our large events, Carved, which brought in the help of Kansas City Aerial Arts, Exposure Talent actors, and many other local artists. The tourism -related events have aided in connecting visitors and local businesses. The Riverside Chamber also continues to grow relationships with neighboring organizations and other non -profits to better serve our community. b. The Chamber is growing, not only in membership but with involvement in the community as we make more connections to bring more awareness and people to Riverside, Missouri. Connecting members as well as bringing new and returning visitors to the community provides increased awareness of local businesses and the community's unique assets. The Chamber wishes to continue the commitment to coordinating or enhancing community/tourism-influenced events for opportunities for business exposure to our members and to attract more visitors to the city. In Spring 2023, the Chamber is planning to organize a Business related retreat and workshop for members and non-members. Our goal is to offer businesses an opportunity to grow, connect, educate, and improve their businesses. This will be a multiple -day event. This event is still in the planning stages, but we plan to bring in big influencers and prominent speakers/motivators. In October 2022, the Chamber hosted our Sth annual Halloween extravaganza, Carved, at Renner Brenner Park. Carved was a themed attraction with magicians, face painting, fortune tellers, fire performers, stunt women, beer and food, a kid's spooky trail, and a haunted trail. This year we combined our event again with the City's Trunk or Treat event. We had a great turnout as usual. As I stated before, this year we partnered with Kansas City Aerial Arts, Exposure Talent actors, and many other local artists. These partnerships took our event to a professional level and provided our attendees with a unique experience. We sold out the trail and have now decided to add a second day to this event. This is a popular event and we expect it to grow every year. We also received very positive feedback from those who attended. We charged for the haunted trail, had various sponsor levels, and sold beer and concessions. Due to some added expenses that we planned for and were essential to taking this event to the next level, we only made back half of what we spent. We think we have set up the event in a way this year that will put us in a more profitable state moving forward. We plan to host this event again in 2023 and will use tourism funds to improve this event and make it a multiple -day event. In December 2022, the Chamber plans to partner with the City of Riverside to host A Riverside Christmas. The event will include Christmas photo scenes, a Santa visit at the North Pole, hot chocolate and cookies station, a food truck, and music! This will be a free event for the community. We enjoy partnering with the City of Riverside to host this intimate community holiday event and plan to be a part of it again in 2023. In 2023, the Chamber plans to continue to host a few small member business community events in addition to a large business workshop. These will be small pop-up events held at various locations in the Riverside area. A couple of examples of these small events will include Trivia nights, Speed networking, mock Casino night, mini -golf, etc.. The purpose of these events is to create a relaxed and fun atmosphere for our business community to connect and build stronger relationships. We feel when it comes to connecting and referrals that people are more willing and successful at referring friends or those they know beyond just a business card. We want to grow the relationships of the business community. For the large business event we will host at a large event space such as Argosy and focus on business development workshops and speakers In addition to the events, the Chamber hosted 6 Yoga in the Parks at E.H. Young taught by In Bliss Yoga. This event brought out about 10-30 attendees each time. The Chamber is planning to organize monthly yoga in the park events during the appropriate seasons in 2023. We have connected with In Bliss Yoga to provide these classes. The Chamber also holds monthly coffees, luncheons, and happy hour networking opportunities for members. We plan to add more networking opportunities for 2023. We hope this next year will be full of new opportunities to connect and grow! c. Describe your organization or business. Include a general description of the mission of the organization, how the project relates to that mission and how the organization is poised to successfully implement the project. The Riverside Area Chamber promotes positive relationships amongst the business and general community by connecting large and small business owners, referring contacts, attracting more customers, and promoting business to community members. The Chamber has increased events in Riverside and will continue to recruit members, which in return, increases awareness and attracts more people to the area. This growth, outreach, and continued growth are only possible by maintaining a full-time staff position. A staff member is necessary to build and maintain relationships, create marketing campaigns, and coordinate events and efforts to benefit both the businesses and the community. d. Who is the target audience for your project? How will you inform them of the project? Estimate the number of individuals you will reach. Target Audience, Riverside Area Chamber of Commerce- We are targeting business representatives in the immediate and surrounding community of Riverside, Missouri for membership, and the general public for event participation and attendance. Email invitations, direct mail, and social media reach on top of occasional fliers, newspaper/magazine ads, and phone calls are how the Chamber reaches others for participation. Target Audience, our special events will offer different opportunities for the community to attend events that appeal to their interests. Local businesses will be utilized for food, entertainment, etc. 2. Project Evaluation- Provide a description of the evaluation procedures used throughout the project to quantitatively measure the success of the project. Suggested measures include: attendance count, zip codes of attendees, details of advertising plan including placement details and number of impressions, and any other measures routinely used by your organization to measure success. Social media platforms (Facebook, Twitter, Linkedln, Instagram) have implemented analytics to track impressions and active followers and provide updates periodically as requested. These provide location demographics for the audience. As for print media, with direct mail, we can specifically target communities as recommended for genres. We can provide these specifics as they approach. Billboard companies provide their car reach per location as requested. For general admission attendees, most ticket sales sites offer a way to keep track of location information (small details such as possibly a zip code) as desired or recommended by the Tourism Commission. 3. Project Budget Our 2023 budget projects a positive revenue in the event all of our events make a profit, though this is just a forecast as unexpected expenses always occur, sponsorships are not certain, and event attendance is not guaranteed. We also may have increased expenses on items due to inflation that we do not yet know of. Our budget does reflect a raise for the Executive Director that took affect in January 2022. We are requesting the grant amount of 81,000 to cover the cost of events and any additional last-minute events or community involvement. *See attached Budget. 4.
