Answering roll call were Deana Winter, Jerry Pietsch, Randy Rose, and Jason Rule. Dirk van der Linde was absent. Also present were Meredith Hauck, Communications and External Affairs Coordinator, and Jane Henry, Executive Administration Assistant. Motion to approve Minutes of November Randy Rose pointed out that he was noted as present in the minutes 17, 2008 and he did not attend the meeting. Deana Winter made a motion to approve the minutes of November 17, 2008, as amended and Jerry Pietsch seconded. All voted in favor. Motion carried. Tourism Fund Update Hauck reported that she updated the tourism fund since the previous commission report at the meeting in November by adding the HPAC Car Show at $4,000 making short term funding total $13,500 with $53,700 available. Long term expenses stand at $40,036.10 with a $127,963.90 balance. In grant money, $30,000 has been expended with $70,800 available. Tourism Enhancement Grant Discussion Hauck distributed copies of 2009 Enhancement Grant Guidelines to the commission. She encouraged everyone to look over the guidelines and suggest any changes that might improve them by June of this year. Winter said she would like to see more official budget documents presented by applicants for funds rather than budgets prepared specifically for funding applications. Hauck asked to consider if they wanted to keep the $10,000 cap on grant applications and asked them to think of projects that might be funded by tourism monies, such as, artwork/sculpture for the Argosy Parkway roundabout. Rule said that he had a hard time distinguishing the difference between long term and short term funding. He said he understands long term. Hauck will write a description of each for clarification. Fair Based Productions Hauck gave the commission copies of FBP’s revenue and expenses for the past 3 shows as well as data on the ’06-’07 season. Since the Board of Aldermen has directed that rent will no longer be waived for use of the community center, FBP will be responsible for paying approximately $5,860 per production or $17,580 for the season. Hauck pointed out that FBP provides a great deal of in-kind services for the city, eg., audio visual support at all the city’s functions, including groundbreaking ceremonies. She asked the commission for feedback and whether or not the commission wants to keep FBP in Riverside. Rose asked if they would do a better job marketing if they received funding. Hauck replied that they do a lot of marketing already in the area newspapers. Tourism Commission Minutes 1/12/2009 Page 1 Rule commented that $17,000 is a lot of money for productions that only reach 1,000 people; it is very expensive for the number of people served and is not a sound business model. He added that the city would be giving them money to sustain something they have been doing for free. Is this a good value for the city? Hauck suggested they might be more comfortable with a $10,000 grant. She also said that she has been talking with the city’s legal counsel about some options for supporting FBP and will keep the commission updated. She pointed out that FBP is not a non-profit organization and has no interest in becoming one. She expects to see other for profit businesses requesting funds in the future. Adjournment Jerry Pietsch made a motion to adjourn until the next meeting and Randy Rose seconded. All voted in favor. Motion passed. ______________________________ Jane Henry Executive Administration Assistant Tourism Commission Minutes 1/12/2009 Page 2
