The Tourism Commission for tl~e City of Riverside, Missouri, met in the Board of Aldermen ~anference Raam at City Hali,
~95~ N Vivian Road, Riverside, Missouri, on July 1, ~aD9, at 6:D~ p.rn.
ChairJason Rule called the meeting t~ vrder~ Answering roll coil were, Jason Rule, Randy Rase, Deana Winter, and Dirk van der
Linde. Jerry Pie~sch and Aaron Thatcher were absent, Also present were Meredith Hauck, Director of Community Relations, and
Jane Henry, Executive Administration Assistant
Matian to approve Minutes ofJune 8, 20U9 Commissioner 1Ninter made a motion to approve the rr~inutes of May ~~, ~D09,
and Commissioner Rase seconded, Ali voted in favor. Matian carried.
Tourism Fund Update Hauck repartedthatavailablefundsfar FYa9~~.0are estimated to be
~57,5D0. The fund baCance is ~39,Z00 bringing the fatal available
funds to 8~~,7~D. Hauck said she wouid Cike to see the available funds
come davun. The money is in place to promote tourism and not to
stockpiCe it. Chair~ason Rule responded thatthey should oat "spend
goad moneyon bad projects," justto spendthe money, He addedthat
it is passible, in the future, the comrr~ission may want to propose hiring
apart time staff person to bring in events.
The minimum available to be spent on grants as set forth in the
guideiines is 3~% or, for FYD9~10 47,~5~. After that money is
expended, there will be ~~o~~~ remaining to spend on other projects.
~f that amount, fiD,~DU is slated far BBC Blast off ~0~.~ and 35,0~~
for ~~~~ Riverfest. Considering these estimates, ~.5,~50 would be left
far other projects that might be presented to the commission during
the year.
Chair Rule observed that since they had been told that Riverfest cast
~aa,ooo and only 35,~~~ of tourism funds is being budgeted far the
event, .where does the other ~~,oa~ came from. Hauck replied that it
is from fundraising. the said that last year Riverfest actually cast about
Rule commented that each time the commission meets the tourism
fund update is presented in a different format. He objected to the
current format and the changing appearance of the update saying that
it was confusing to him. Hauck said she would present it in a
spreadsheet format in August
Tourism Grant Process Update Grant proposals are due July B1. Hauck has received phone calls
inquiring about the grant process but to date has received no proposals,
she expects then to come in at the end of the month closerto the due
date.

They estimate that 5,178 people attended the July ~0 event. This year
they tracked ~1P codes for the first tine to better understand the
number of tourists corning from the metro area and from outside the
area.
Rule questioned where the tourism grant money is accounted for on
their financial sheet, Hauck added that 50~ was withheld to pay far
park clean up after the event.
~~9 BBC Blast off Hauck said the event dreg an estimated attendance of 1,5D~.
Prelirninary estimates far total cost are 55,48G~ ~4 BBL teams
participated, The fireworks safety workshop was a success with 1S0
participants. [n the future, the BQwill be held on the first Saturday of
fireworks season, June 26#~ next year. Rule asked why not hold it on
July ~~~. Hauck said the event supports the fireworks businesses and
draws attention to them; it would compete with other events on July ~.
Rule said that the big days far the fireworks businesses are Duly ~, 3~ and
4 and that ~ weeks is taa far autfor an event, sa he supports the date
change. Camn~issioner Rose suggested adding mare vendors. Hauck
told the commission that she will start working on allowing the public to
taste the contestants' BBB. She wild contact the Platte County Health
Department to coordinate the effort, Also, she mentioned allowing the
+ soaks to carne to the park on Friday night to begin marinating their
meats.
Motion to Approve Funding Request - Hauck tall the carnrnission that this group is not asking for any funding

and distributed to other roller rinks in the metro to advertise the event,
Commissioner I~linter made a motion to approve the funding request
for "Robot Chicken: star wars Episode [[" Roller Skating Tour and
Con~missianer Rose seconded, All present voted in favor and the
r~at[on carried.
Miscellaneous Next month's meeting will be held on August 10 and will be a grant
evaluation workshop, F

meeting and Commissioner Rose seconded. Ail voted in favor. Motion

The gathering location for Model A Fords leaving from the east will be E. H, Young R'rverfront Park at
Riverside, Missouri. Participants will receive their registration packets, decals will be affixed and the special
Pony Express license plate will be affixed, Each participating car will also be photographed.
Awelcome gala will be held circa ~.a p,m, with a pie and ice area social, with live music at the center
stage in the park. This will be excellent opportunity for participants to meet informally with others ar~d

As with our ~5~~ Anniversary car Shaw and swap Meet held tune ~Gt~' through ~St~ of this year, we [ooCt
forward to using the ~H Young Riverfront Park to hold our ~D~Q event.
This year we focused the bulk of our activities on saturday and Sunday
and anticipate echoing this for the foreseeable future, while our Friday
evening schedule was primarily setup time for our club and the various
vendors partnering u~ith us, we see i=riday evening as a logical
opportunity to continue to expand the agenda as seems appropriate for
the crowd we draw.
we Learned that the grassy areas of the Park present prima real estate far our s[~ow and swap vendor
areas. Reaching into the area under shades of the Park and plugging into the available electric service,
our food vendor partners found a friendly harne, as spectators and participants alike browsed the event
and settled iota the pavilions for a rest and a bite to eat; The asphalt parking lot provided additional
space far used parts vendors and parking far show vehicle rigs. Ample and easy~access spectator
par[€in vuas available in the northeast earner of the part on the baseball fields for mostl with those
needingspecia[ access parked a[angthe Park's mainthoraughfare,
vl~ith these lessons in hand, vve see little reason to make major changes to our shag far 2U10, Yes, we'IC
make same small changes here and there to better drag and maintain the erowdt but our initial
planning of far another two plus~day event r~arketed to known NiPAR enthusiasts across the
heartland.

Echoing the mission statement of the Riverside Tourism carnrr~issian, HPA~'s focus an not just the
Heartland, r~etra Kansas pity area or some guy in ~[adstane looking for something to do on a summer
saturday afternaan. vUe strive to identify and invite MOPAR enthusiasts from across the Heartland to
became part of our fe[lo~ushipping community, As such, we fee[ we align yell with Riverside's goal of
promoting tourism and encouraging the area as a destination opportunity.
The two plus yday nature of our event also encourages many to not just pop over for the days of the
show, but to travel greater distances and rer~ain in town for several days, exploring a[I of what the local

As previously mentioned our primary audience is car enthusiasts with an affinity to things M~PAR. This
audience in itself is quite diverse, ranging from those who
purchased new and still maintain their Chrysler classic autarr~abile
from the 1~5~`s, ar perhaps even earlier, to the teenager who has
an itch to drive something uniquely different--later mode[ or
samethingc[assic. such individuals are all acrossthe Heartland
and represent thane with wham we'd most like to fellowship,
ether potential audiences have be found sirnp[y by looking
outside the traditional brand boundaries. i=ar the M~PAR community some of this has been thrust upon
us through gears of corporate restructuring and buy-outs. ~nr examples names like Nash, Rambler,
American Motors and deep have entered the fold through acquisition. But alI automobile enthusiasts
share a little ail in the veins when it comas to appreciating the hard work that goal into preparing a car
for the Shaw. UUe invite and appreciate fans and spectators alike, from wherever they might came.
Typically we've lirr~ited our marketing to those outlets --local and national - mirth free access and a
targeted mailing to those approximately ~,~qp people with whom we've corr~e into contact aver the
years. This year's list of invitations also included ~,~Oa elf~identified MOPAR enthusiasts; these were
subscribers to M~PAR Muscle Niaga~ine and five within 2SD miles of Riverside, we also made sure we
gat free space in ~ of the other ~ nationally respected MOPAR enthusiast magazines.
ONhile we've not completely figured out the marketing approach that works best with the riverside
location, we can report that we registered ~.~1 show vehicles, ~~ parts vendors, 9 fend vendors and saw
an estimated ~,5Q0 spectators walk through the show field over two days. i"ar the first year in a new
Iocation, this response was very satisfactory. It has been our observation that the first year is always

dawn a little and recovers nicelythe secanclyear. it'd been a longtime sincew~'ve had athirdyear, so
we'll have to wait and see when we get there.

As alluded to above, we have same ability to measure success simply through the way we register
participantsa in additianto their numbers, we can seefrorn where thej~carr~e and drawsvme
reasonable conclusions about the length of their stay, etc,, that are of interest to us both,
fur direct mailing this past year also helped us to measure and understand our ability successfully reach
beyond the metro to can~plete strangers, dot as successful as we might have hoped, our 3,~~~. postcard
invitations generated only ~~ website hits. direct mail i something we'll need to better understand,

Another measure that we feel is important related to retention of participants. we gill be peeping a

participant, The flip side of this coin is equally important as it relates to first time visitors, As we've not
completely crunched the data from our ~Oa9 Shaw, we can only offer that there were many first timers
all over the place this year and vue hope that they were sufficiently impressed to want to return in ~~~~.
And that brings me to the last measure we use; participant survey, This year we aspect every show
participant to respond to ~, questions about the show, As the show is the centerpiece of the event, we
put a lot of stage in their opinions. Below is the resulting chart, and as you can see, our numbers uvere
quite goad. 1e hope this translates into retention.

Please be advised that during o€~r incorparatian renewal recently, we were advised that there is no such thing as ~ nat-
for-prafit corporation in Missouri anymore. Cnstead, we were advised to renew as a nor-prafit. I also am told that we
have nothing more descriptive ors file with the state than appears in our renewal. I know this sounds add, lout it's what
those who handled the incorporation a few years ago say and rnaintain as tarrect.
