HomeMy WebLinkAbout2009-08-10 Tourism Commission MinutesMINUTES TOURISM COMMISSION RIVERSIDE, MISSOURI Monday, August 10, 2009 6:00 p.m. The Tourism Commission for the City of Riverside, Missouri, met in the Board of Aldermen Conference Room at City Hall, 2950 NW Vivion Road, Riverside, Missouri, on August 10, 2009, at 6:00 p.m. Chair Jason Rule called the meeting to order. Answering roll call were, Jason Rule, Randy Rose, Deana Winter, Dirk van der Linde, Jerry Pietsch, and Aaron Thatcher (non-voting member). Also present were Meredith Hauck, Director of Community Relations, and Jane Henry, Executive Administration Assistant. Motion to approve Commissioner Rose made a motion to approve the minutes of July 13, 2009, and Minutes ofJuly 13, Commissioner Winter seconded. All voted in favor. Motion carried. 2009 Motion to Appoint a Hauck reminded the commission that the chair position is a one-year term. Both Jason Rule Tourism Commission and Deana Winter were willing to serve. Commissioner van der Linde made a motion to Chair appoint Rule as chair for another one-year term and Winter seconded. Motion carried. Tourism Fund Update Available funds remain at $396,700. The minimum available to allot for grants in the fall and spring cycles is $47,250. Funding Request - Riverside Riverfest Development Corporation is requesting $38,000 to help fund its annual Riverside Riverfest event, Riverside Riverfest. Total project cost is estimated at $81,400. The funding request would help pay for fireworks, carnival and props, sound system/DJ equipment rental, and print and radio advertising. Rose excused himself from the discussion. Commissioner Winter noted that they are asking for 46.7% of their budget and asked Hauck if they were trying to grow the project in any way. Hauck responded that they had a formula that seemed to work for them and indications were that they would stay with that model. Rule challenged the commission to list the positives and negatives of Riverfest. Commission Rose abstained; all others present voted in favor and the motion carried. Tourism Grant Process Hauck received 5 grant applications for the fall cycle: 150`" Anniversary Pony Express Model Update A Tour, High Performance Auto Club Car Show and Swap Meet, Kansas City Scottish Highland Games, Northland Ethnic Festival, and Northland Symphony Orchestra. Tourism Commission Minutes 8/102009 Pege 1 The commission members were polled for their scores for the applicants in 8 categories: support goals of the Tourism Commission (20 points), documented potential for positive return on investment (15 points), the project is clearly explained (15 points), key objectives are clearly identified and goals are measurable (30 points), project is a new or expanded project (10 points), target market/audience is defined (S points), complete budget with reasonable and well-researched costs (15 points), and matching funds are clearly identified (10 points). The following table provides an overview of the submitted applications, funding amounts, and the Tourism Commission scores. Applicants can request up to 45% of their total budget in Tourism Funds. Commissioner Winter made a motion to approve the funding request for 150th Anniversary Pony Express Model A Tour and Commissioner Rose seconded. All present voted in favor and the motion carried. Commissioner van der Linde made a motion to approve the funding request for High Performance Auto Club Car Show and Swap Meet and Commissioner Winter seconded. All present voted in favor and the motion carried. Commissioner Rase made a motion to approve the funding request for Kansas City Scottish Highland Games and Commissioner Pietsch seconded. All present voted in favor and the motion carried. Commissioner van der Linde made a motion to approve the funding request for Northland Ethnic Festival and Commissioner Rose seconded. All present voted in favor and the motion carried. The commission did not recommend Northland Symphony Orchestra for funding. Commissioner van der Linde made a motion to approve funding far Northland Symphony Orchestra and Commissioner Winter seconded. The vote was: Yes: Commissioner Winter No: Commissioners van der Linde, Rule, Rose, and Pietsch. Motion failed. Tourism Commission Minutes 8/10/2009 Page 2 The Northland Symphony application received the lowest ranking, only 3 tenths of a point from being below the required funding level. The commissioners felt the event benefits too small a group of people, thereby not supporting the goals of the Tourism Commission. The applications that the commission is recommending for funding will be on the board of aldermen's September 15 agenda. Tourism Commission Chair Jason Rule will attend the Board of Aldermen meeting to review the recommendations with the Board and to answer any questions they might have about the evaluation process. Adjournment- 8:45 pm Commissioner van der Linde made a motion to adjourn and Commissioner Pietsch seconded. All present voted in favor. The next meeting will be held on Sept. 14.
